What we collect, and why

WhenWhatWhy
You send us the contact form Your name, email address and message, plus your phone number and business name if you choose to give them. Along with it, the form passes on the page you were on, your browser type and your IP address. To reply to you and to give you a quote. The page, browser and IP address help us spot spam and see roughly where an enquiry comes from.
You email or phone us Whatever you tell us, plus your email address or phone number. To answer you.
You visit any page Our web server records your IP address, the page requested and your browser type in its standard log. To keep the site secure and working.

We do not run advertising or analytics tools on this site, and we do not sell your information. For cookies, see our cookie policy.

Our lawful basis

  • Legitimate interests for replying to enquiries, keeping the site secure and spotting spam. We have weighed this against your rights and think a business enquiry deserves an answer.
  • Contract, where you ask us to take steps towards working with you, or become a customer.
  • Legal obligation, where the law requires us to keep records, such as invoices.

What happens to your contact form message

Your message is sent to our helpdesk system, where it becomes a case that we reply to. When it arrives:

  • An automatic acknowledgement is emailed to the address you gave us.
  • Your IP address is looked up with an IP location service to give us an approximate town and internet provider. This is used for spam checking and is stored with your enquiry.
  • To stop automated and repeated submissions, we check what you send for signs of spam, and keep a scrambled (hashed) copy of your IP address, your email address and your message, with the time, for up to 24 hours. A scrambled copy cannot be turned back into your address or your words. It is used only to spot repeats and to limit how many messages one address can send in a short time.

Who we share it with

Only the people and services we need to handle your enquiry:

  • our helpdesk system, run by O'Brien Media, which stores your enquiry;
  • our email delivery service, which sends the acknowledgement and our replies;
  • an IP location service (ipinfo.io), which receives your IP address for the lookup above;
  • the content delivery networks that serve this site's styles and scripts (see below);
  • our professional advisers, or the authorities, if the law requires it.

Some of these providers may process information outside the UK. Where they do, we only use providers that offer the safeguards UK data protection law requires.

Third-party content on this site

Your browser fetches some files straight from other companies' servers when a page loads. They can see your IP address and browser type, but they do not set cookies on this site.

  • cdn.jsdelivr.net: Bootstrap and Font Awesome styles and scripts
  • code.jquery.com: jQuery

How long we keep it

  • Enquiries that do not lead to work: 12 months, then deleted.
  • Customer records: while we work together, then for as long as the law requires us to keep accounting records (six years).
  • Spam-protection records (scrambled copies, as described above): up to 24 hours, then deleted.
  • Web server logs: a short period, then overwritten.

Your rights

Under UK data protection law you can ask us to:

  • tell you what we hold about you and give you a copy;
  • correct anything that is wrong;
  • delete your information, or restrict how we use it;
  • stop using it where we rely on legitimate interests;
  • give you your information in a portable format, where that applies.

Email contact@swindonwebdesign.uk and we will respond within one month. We may need to confirm who you are first.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put it right first.

Changes to this policy

If we change how we use your information, we will update this page and the date at the top.
